Receiving an encrypted email from Stanford Sierra Youth & Families

Stanford Sierra Youth & Families highly respects our client’s right to have their personal information and information about services received from Stanford Sierra Youth & Families kept secure and confidential. To meet this goal, and to ensure compliance with HIPAA regulations, Stanford Sierra Youth & Families uses Microsoft 365 to securely encrypt emails when sending emails containing Protected Health Information (PHI) to an external recipient.

Below details what you can expect when receiving a secure encrypted email from Stanford Sierra Youth & Families.
- When you receive a secure email from Stanford Sierra Youth & Families, you will receive an email notification like the one shown to the right (Figure 1).

- Click on the “Read encrypted message” button to be taken to a secure web portal to retrieve the secure email.

- When you arrive at the secure web portal, you’ll be prompted to sign in with a trusted email provider, or sign in with a One-time passcode. This will ensure only you can securely retrieve the secure email message (Figure 2).

- Follow the on-screen directions. If you choose to get a one-time passcode, check back on your email to get the code, and continue as prompted.

- Once you have authenticated, you’ll be taken to the email where you can view your secure email. You can also securely reply and forward the email from here if you wish (Figure 3).
