How to use the AV System in Collaborative.

Connecting a laptop to Wireless (Streaming)
1. Switch the AV system main power on
2. Turn the projector on (with remote labeled Projector). The green light on the projector will flash more rapidly
3. Wait about 30 seconds for the projector to start up
4. While waiting, ensure the DVD/Blu-Ray player is off if you won’t need it (ensures auto-sync)
6. On the projector screen, you will see the instructions on how to connect to your laptop wireless (streaming).

Connecting a laptop (with HDMI)
1.Switch the AV system main power on
2.Turn the projector on (with remote labeled Projector). The green light on the projector will flash more rapidly
3.Wait about 30 seconds for the projector to start up
4.While waiting, ensure the DVD/Blu-Ray player is off if you won’t need it (ensures auto-sync)
5.Connect one end of the HDMI cable to the AV system port labeled “HDMI”
6.Connect the other end of the HDMI cable to your laptop (port is on the left side of the Vostro 3360)
7.Wait about 15-20 seconds for the projector to automatically sync to the laptop
8.Adjust the sound volume using the volume control labeled “HDMI”
9.PowerPoint “clicker” (with USB receiver) is available in the storage drawer

Troubleshooting

If the laptop image does not display try the following:
-Re-check steps above. Ensure the DVD/Blu-Ray player is turned off so that only the laptop is connected
-Press Fn+F1 on your laptop to toggle the display mode of the laptop. Set it to “Duplicate”.

Sound
If there is no sound, check the following:
-Check sound volume control in your physical laptop.
-Check volume control on the AV system labeled “HDMI”
-Check area control on AV system for Collaborative
-Check area control on AV system for Leadership & Community if needed

Playing a DVD / Blu-Ray disc
1.Switch the AV system main power on
2.Turn the projector on (with remote labeled Projector). The green light on the projector will flash more rapidly
3.Wait about 30 seconds for the projector to start up
4.Turn the DVD / Blu-Ray player on, and insert disc
5.Wait about 15-20 seconds for the projector to automatically sync to the DVD / Blu-Ray player
6.Adjust the sound volume using the volume control labeled “DVD/Blu-Ray”
7.Use the remote labeled “DVD/Blu-Ray” to control the DVD / Blu-Ray

Troubleshooting

If the DVD / Blu-Ray image does not display try the following:
-Re-check steps above. Ensure the DVD / Blu-Ray player is turned on
-Disconnect laptop or any other attached devices 

Sound
If there is no sound, check the following:
-Check volume control on the AV system labeled “DVD/Blu-Ray”
-Check area control on AV system for Collaborative
-Check area control on AV system for Leadership & Community if needed

Switching between devices

When using multiple devices, such as both a laptop and DVD, you can switch what is shown on the screen by doing the following – 
1.Ensure both devices (laptop/DVD player) are powered on and connected
2.Using the Projector remote control, pressing the “Source” button once.
3.The projector will toggle through the available inputs and display the next
4.Press the Source button again if needed to switch back

Troubleshooting

If the correct input does not display try the following:
-Re-check connection instructions for each device (HDMI instructions, DVD/Blu-Ray instructions)
-Toggle the Source button until correct device is displayed

Sound
If there is no sound, check the following:
-Check volume control for each input (HDMI and DVD/Blue-Ray have independent volume controls)
-Check area control on AV system for Collaborative
-Check area control on AV system for Leadership & Community if needed

If sound is coming from multiple sources simultaneously:
-Check volume control for each input (HDMI and DVD/Blue-Ray have independent volume controls)

Using microphones
Microphones can be used at the same time as DVD or laptop
1.Switch the AV system main power on
2.Grab the hand microphone or the lapel microphone from the storage drawer
3.Turn the microphone on (switch on the bottom of the hand mic, at the top of the lapel mic)
4.Adjust volume on the appropriate volume control for “Hand Mic” or “Lav Mic”

Troubleshooting
Sound
If there is no sound, check the following:
-Check volume control on the AV system labeled “Hand Mic” or “Lav Mic”
-Check area control on AV system for Collaborative
-Check area control on AV system for Leadership & Community if needed
-Ensure microphone is turned on. If switch is set to on, but red light does not light, check batteries (spares in the drawer)
If the microphones have feedback, adjust volume setting down

Connecting other devices

Connecting a computer with VGA cable
*Note: For Stanford Youth Solutions laptops, please use the HDMI instructions
1.Switch the AV system main power on
2.Turn the projector on (with remote labeled Projector). The green light on the projector will flash more rapidly
3.Wait about 30 seconds for the projector to start up
4.While waiting, ensure the DVD/Blu-Ray player is off if you won’t need it (ensures auto-sync)
5.Connect one end of the VGA cable to the AV system port labeled “VGA”
6.Also connect the “iPod” cable to the system if sound is needed
7.Connect the other end of the VGA cable to the computer
8.Also connect the “iPod” cable to the headphone jack of the computer
9.Wait about 15-20 seconds for the projector to automatically sync to the laptop
10.Adjust the sound volume using the volume control labeled “iPod/VGA”

Troubleshooting

If the computer image does not display try the following:
-Re-check steps above. Ensure the DVD/Blu-Ray player is turned off so that only the computer is connected
-Toggle the computer’s display mode to ensure it is being output. (varies by computer)
Sound
If there is no sound, check the following:
-Check sound volume control in the computer
-Check volume control on the AV system labeled “iPod/VGA”
-Check area control on AV system for Collaborative
-Check area control on AV system for Leadership & Community if needed

Connecting an audio device with stereo headphone jack
1.Switch the AV system main power on
2.Connect the “VGA iPod” cable to the system 
3.Connect the “VGA iPod” cable to the headphone jack of the device
4.Adjust the sound volume using the volume control labeled “iPod/VGA”

Turning off and tidying up checklist
•Turn off AV System main power
•Turn “Leadership & Community” area control down to 0
•Turn off microphones
•Turn off projector with remote (it will automatically turn off with no signal, but not for 30 minutes)
•Return microphones, remote controls and PowerPoint “clicker” (with USB receiver) to storage drawer
•Coil up cables (HDMI) neatly and return to storage drawer
•Do not remove AV system labeled cables
•Report any difficulties or damaged/missing equipment to IT
